About the role

 

EXECUTIVE ASSISTANT
Temporary Full Time until December 2026

 

Colac Area Health is a values-based organisation providing a unique integrated health service comprising of over 500 employees, providing Acute Care, Aged Care, Community and Allied Health Services.

 

In this role you will have the opportunity to make an impactful contribution by providing support to our CEO and Executive Team.

 

You will be trusted to support the CEO and members of the Executive Team by applying a high level of emotional intelligence and a forward-thinking approach to oversee the efficiency of administrative processes and day to day functions.

 

You will also bring superior interpersonal skills to build and maintain relationships and manage confidential matters with professionalism and discretion.

 

Responsibilities include:

 

  • Proactive diary management, organising appointments and coordinating future meetings and events to meet timelines and competing priorities
  • Creating documentation that will include board and government reports, briefs and minutes through strong proficiency levels in Microsoft Office platforms that include Word, Excel, Teams, Power Point Outlook and SharePoint
  • Applying your solutions focused manner and relationship building approach to support the CEO in first line communication with the Board, and all internal and external stakeholders
  • Organising meetings, events, and speaking arrangements and prepare all associated agendas, presentations and materials required
  • Oversee the Executive Assistant team

As the Executive Assistant to the CEO, it is essential that you have:

 

  • Proven experience in an executive assistant or office management role
  • Previous experience in committee support
  • Demonstrated ability and experience in the provision of confidential administrative/secretarial support at a senior executive level
  • Demonstrated, superior organisational and communications skills
  • High level of computer literacy and demonstrated competence; sound working knowledge of Microsoft Office 365 software (Outlook, Team, SharePoint)

 

and desirable to have:

 

  • Post-secondary school qualifications such as a certificate in administration or a relevant field is desirable
  • Previous experience working with Boards of Governance
  • Previous experience in health care agencies
  • Demonstrated strong values driven leadership skills with a commitment to working collaboratively to achieve agreed organisational vision and objectives.
  • Willingness to work out of hours when required 
  • Extensive experience and expertise in office procedures/administration, including records management
