About the role 

We are seeking a highly organised and proactive Project Administrator to provide high-level administrative and coordination support for a large-scale psychosocial health and safety project. Working closely with the Project Manager, you will play a critical role in supporting the successful delivery of project outcomes by ensuring effective coordination, communication, and administration across all project activities.  This role is responsible for supporting project governance processes, stakeholder engagement, documentation management, reporting requirements, and day-to-day project operations. 

 

Key Responsibilities 

  • Provide comprehensive project coordination and administrative support across all phases of the project, including maintaining schedules, action logs, risk/issue registers, and deliverables tracking to ensure milestones are met
  • Support project governance processes by coordinating meetings, preparing agendas and papers, taking minutes, tracking actions, and assisting with reporting requirements for stakeholders
  • Assist in the preparation, collation, and distribution of project reports, updates, and documentation to support compliance with funding, governance, and reporting obligations
  • Coordinate stakeholder engagement activities, including liaising with internal and external stakeholders, managing enquiries, and supporting logistics for workshops, focus groups, and meetings

 

What we’re looking for 

  • Demonstrated experience in an administrative or project support role within a complex or multi-stakeholder environment, with strong proficiency in Microsoft Office Suite (Teams, Word, Excel, and PowerPoint)
  • Strong organisational and time management skills, with the ability to prioritise competing demands while maintaining a high level of accuracy, attention to detail, and quality in documentation and record keeping
  • Well-developed written and verbal communication skills, with the ability to work collaboratively, build effective working relationships, and support coordination across diverse stakeholders
  • Desirable: Experience in healthcare, government, or not-for-profit sectors, with exposure to project management tools or frameworks and/or an understanding of occupational health and safety or psychosocial risk concepts
