About the role

The role of the Executive Assistant in the Intensive Care Unit is to provide administrative support and secretarial duties to the Director of Intensive Care and the ICU Specialists and ICU Medical Staff.

 

Key responsibilities include, but are not limited to:

  • Provide high-level administrative support to ICU Specialists, including calendar management, meeting coordination, and correspondence handling.
  • Maintain confidential medical and administrative records in line with privacy standards.
  • Prepare reports, agendas, and meeting minutes as required.
  • Manage office systems, supplies, financial processes, and invoice handling.
  • Coordinate staff rosters, leave, locum cover, and timesheets.
  • Support course administration and reimbursement processes.
  • Liaise with internal and external stakeholders and manage ICU-specific IT and electronic medical records systems.

 

What we’re looking for 

  • Demonstrated administration experience supporting multiple staff, with the ability to prioritise, organise and manage competing demands accurately and within required timeframes.
  • Highly developed verbal and written communication skills, with strong interpersonal and teamwork abilities and a professional, courteous approach.
  • Proficient in Microsoft Office applications, including Word, Excel, PowerPoint and Outlook, with the ability to learn and effectively use organisation-specific systems and applications.
  • Demonstrated understanding of confidentiality and privacy within a healthcare environment, with a self-motivated, resourceful and solutions-focused approach.
