About the role

We are seeking an experienced administrative assistant to provide exceptional administration and reception services to our Infectious Diseases Team and Infection Prevention Service.  You will be responsible for the delivery of confidential, efficient, consumer focussed administrative support that ensures equity of access to care for patients, in accordance with Barwon Health values and guidelines.

 

Key Responsibilities 

  • Provide high-level administrative support including scheduling, correspondence, and coordination of meetings
  • Manage and maintain accurate diaries, contact lists, rosters, and internal/external communications
  • Prepare agendas, record and distribute minutes, and coordinate reports and performance data
  • Maintain departmental systems, procedures, website content, and office supplies
  • Coordinate onboarding for new staff and students, and monitor mandatory training compliance
  • Collate and issue the Annual Report, while supporting staff wellbeing and undertaking other duties as required

 

What we’re looking for 

  • Relevant tertiary qualification (Certificate IV or higher in Secretarial/Business Studies) or substantial equivalent experience
  • Demonstrated experience providing high-level administrative support to multiple managers in a fast-paced environment
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Access) and ability to learn new systems quickly
  • Excellent interpersonal, customer service, and written and verbal communication skills
  • Strong organisational, problem-solving, and time-management skills, with the ability to prioritise tasks and manage confidential information discreetly

 

About the service

Barwon Health’s Infectious Diseases Unit and Infection Prevention Service provide consultations, inpatient care and antimicrobial stewardship across all acute care sites. They provide advanced training in infectious diseases and microbiology and lead extensive infectious diseases research programs in clinical, basic sciences, public health and epidemiology.
