About the role 

Administration Officers are responsible for the delivery of consumer-focused administrative support that ensures equity of access throughout the patients Journey within Surgical Specialist clinics

 

Key responsibilities 

  • Provide high-quality reception and customer service, welcoming patients, carers, staff and visitors and responding to enquiries in a professional and timely manner.
  • Manage patient bookings and referrals, including registration, appointment scheduling, rebooking, referral updates and accurate maintenance of patient information using iPM.
  • Coordinate communication and support for patients and service providers, liaising with GPs, specialists, interpreters, transport, diagnostics and internal/external providers to support efficient service delivery.
  • Provide effective administrative support across Specialist Clinics, ensuring accurate records and data, supporting telehealth services, maintaining patient files and following Barwon Health policies and procedures.

 

What we’re looking for 

  • Excellent communication and interpersonal skills, with the ability to engage professionally with patients, families, health professionals and colleagues.
  • Strong customer service and computer skills, with confidence using health technologies and information systems.
  • Positive, motivated and team-focused approach, with a willingness to learn and contribute to a supportive environment.
  • Flexibility and adaptability, with the ability to undertake a range of administrative duties and work rostered shifts or additional hours as required.
