About the role

BMI is currently recruiting for an Administration Assistant - Operations (job share = Paternity Leave Relief) to provide high level assistance and secretarial support to our Operations Manager, Clinical Support Manager and Senior Leadership Team.  Working closely in a job-share arrangement you will help facilitate the effective operation of Barwon Medical Imaging.

The Administration Assistant (Operations) – works closely with Operations Manager and Clinical Support Manager in providing day to day coordination and administrative support to Radiologists, Registrars and the senior leadership team or BMI.

This diverse role will see the successful candidate utilise their strong administration skill set in the areas of diary management, rostering assistance, communication and secretarial support.  Previous experience in supporting financial processes including, ordering (via Oracle), invoicing and reconciliation will be highly regarded, as will strong customer service skills to be utilised in assisting external referrers access BMI imaging and reports.

 

Key responsibilities 

  • Manage calendars, meetings, agendas, and minutes for the BMI Senior Leadership Team.
  • Respond to enquiries, coordinate communication, and maintain strong internal and external relationships.
  • Assist with onboarding, rosters, reporting, mail distribution, and general administrative tasks.
  • Support IT triage, policy administration, and maintain quality improvement and departmental records.

 

What we’re looking for 

  • Experience in an Administrative Support, Personal Assistant, or other similar role.
  • High level of computer literacy (word, excel, power point, email, internet)
  • Ability to work independently, interdependently and flexibly within a multidisciplinary program.
  • Strong Interpersonal Skills - ability to liaise across a broad range of clients/customers, including executives, management, external customers and fellow team members
  • Excellent organisational and administrative skills
  • Aptitude to learn new computer programs / communication programs
